Printer Not Printing? A Simple Troubleshooting Checklist

Printer not printing? Work through this checklist for stuck queues, ink and toner, drivers, Wi-Fi and paper feed before you call for repair.

A printer that suddenly refuses to print is one of the most common headaches in homes and offices. Before you give up, work through this checklist, most issues are fixable in a few minutes.

Clear the print queue

Sometimes one stuck job blocks everything behind it. Open your printer queue on the computer, cancel all pending documents, then try printing a single test page. A quick restart of both the printer and computer clears many hidden glitches too.

Check ink, toner and cartridges

It sounds obvious, but low or empty cartridges are a top cause. For inkjet printers, run the built-in nozzle clean and head alignment if pages come out blank or streaky. For laser printers, gently rock the toner cartridge side to side to spread the powder. Also make sure any protective tape on a new cartridge has been removed.

Reconnect Wi-Fi or cable

If your printer is wireless, a dropped connection will stop printing without any clear error. Check that:

  • The printer and computer are on the same Wi-Fi network
  • The router is working and the printer shows as online
  • The USB cable, if used, is firmly plugged in at both ends

Re-adding the printer in your system settings often fixes a connection that has gone stale.

Update or reinstall the driver

Outdated or corrupted drivers cause strange behaviour, jobs that vanish, error messages, or a printer that shows as offline. Remove the printer from your settings, download the latest driver from the manufacturer, and reinstall it fresh.

Sort out paper feed and jams

If the printer pulls in nothing or grabs several sheets at once, open the tray and fan the paper so the sheets are not stuck together. Remove any jammed paper slowly and straight, never yank it. Check the rollers for dust and make sure the paper guides are snug against the stack.
